It’s hard to find an educated person who have never sent an E-mail. At least among those who are reading this article. Regularly Millions of E-Mail are sent for thousands of jobs such search of new jobs, contact with corporate clients etc in whole world. But how many we are know the exact rules of sent E-mail. No, it is not the matter of pride. One Email in a wrong format can destroy the company’s privacy in momentarily. Destroy may come down instead of success.
Let’s
take a look at some of the important things that must be known before writing
the E-mail.
TO
“TO”
word are come first to write a new E-mail. Here we enter the E-mail recipient
email address. In case if the recipient is more than one person than the email
address of all of them will write here. But if you want to sent it just one
person and this sending matter want to keep telling with others known person
than write once email address in TO and others in CC.
Carbon
Copy (CC)
CC
means Carbon Copy. If you want to sent a lot of people same Email at once than
you use CC. The names of email address at CC bar are get same email and they
also see whose are get this mails carbon
copy if they can.
Everybody
of this mail can see the email address of each others. So it is safe to use
just at own institute. Because here is no problem if we see each others.
Blind
Carbon Copy (BCC)
BCC
means Blind Carbon Copy. The names of BCC will get same mail but they don’t see
who also get this mails carbon copy.
Suppose you have 200 corporate client. You want to wish them Happy New
Year. But in those client many are rival each other. They also are your big
clients. Because of the business you want to have a good relationship with
everyone. In this case you will send your mail by BCC. Here everyone will get
same mail but don’t see who also get it.
Subject
In
a experiment it is found that approx 30% emails are written without subject.
The main thaem of mail are written in this box. Many people think so that
subject is not so important. You will be shocked to know that many corporate
organization do not open your mail because of no subject. Just getting an email
the subconscious mind of the recipient want to know the subject of this mail.
If he does not get any subject than his feel unconsciously feel bored.
Its
need to remember that email is not like a rhymes or story that after reading
the whole can be understood. So the subject you will write must. Between 7-8
words need to write the appropriate and interesting Subject line. So that the
recipient will understand your mails subject and open if it is his necessary.
In
the above I talked about the issue of sending email. Now I going to tell about
you that what to do after receiving the email. We are many don’t understand the
deference between REPLY and REPLY ALL. Suppose you using many email in a
threads. Some one sent to you and 10 others with CC. You want to give answers
just only provider. In this case you use REPLY. But if you use REPLY ALL than
everybody of this mail will get your reply which maybe not necessary. So be
sure before reply.
Forward
Most
of time people make mistake at the time of forward of email. At the time of
forwarding of last mail they forward all mail of these threads. Then its need
to edit those are irritating. It is important to write why we forwarding it. So
